MobilSense: Automated Enterprise Mobility Management Solutions
MobilSense provides enterprise-grade mobile expense management and lifecycle automation solutions to help organizations optimize wireless costs and visibility.
Overview
MobilSense is a leading provider of Enterprise Mobility Management (EMM) and Wireless Expense Management (WEM) solutions. Founded with a focus on bringing transparency to the often-convoluted world of corporate cellular billing, the company has evolved into a comprehensive lifecycle management partner. MobilSense serves a diverse range of industries, including healthcare, manufacturing, professional services, and logistics, catering primarily to mid-market and large enterprise organizations with complex mobile fleets.
The core of MobilSense’s offering is the ability to centralize and simplify the management of mobile devices, service plans, and associated costs. Their services include invoice processing and auditing, usage monitoring, mobile policy development, and procurement management. In an era where mobile workforces are expanding, MobilSense addresses the critical need for organizations to control escalating wireless costs while ensuring employees have the tools necessary for productivity.
With a history spanning over two decades, MobilSense has established a significant market presence by delivering measurable ROI. They help companies move away from manual spreadsheet-based tracking to a fully automated, cloud-based environment. Their focus is not merely on cost reduction—which typically averages 20-40% for new clients—but also on operational efficiency and security. By providing a holistic view of the mobile ecosystem, MobilSense enables IT leaders to make data-driven decisions regarding device refreshes, carrier transitions, and international roaming strategies.
Positioning
MobilSense positions itself as the "Strategic Authority" in the wireless expense management space. While the broader market is crowded with "do-it-yourself" software tools, MobilSense targets organizations that require a managed service layer combined with powerful automation. Their messaging focuses heavily on the concepts of "Visibility, Control, and Savings," positioning their platform as a necessary financial control for the modern digital enterprise.
In terms of competitive positioning, MobilSense differentiates itself from large, diversified Telecom Expense Management (TEM) providers by specializing exclusively in mobility. This specialization allows them to offer deeper expertise and more agile responses to the rapidly changing mobile landscape (such as 5G transitions and IoT expansion) compared to broader TEM vendors who may be distracted by wireline or cloud expense management.
Their brand positioning emphasizes reliability and precision. They market themselves to two primary personas: the CFO, who is concerned with bottom-line savings and financial predictability, and the CIO, who seeks to reduce the "noise" of mobile support tickets and asset tracking. By bridging the gap between Finance and IT, MobilSense positions its solution as a cross-functional utility that drives enterprise-wide value. Their go-to-market strategy relies on demonstrating immediate ROI through initial audits, which then transitions into long-term lifecycle management partnerships.
Differentiation
The MobilSense product suite is anchored by its flagship platform, MobilSentry™, which offers a sophisticated technical architecture designed for granular visibility. Unlike basic expense management tools, MobilSentry™ provides real-time data on usage patterns, enabling "mid-month" interventions that prevent overage charges before they occur.
Key product differentiators include:
- Automated Policy Enforcement: The platform doesn't just flag violations; it automates the remediation process based on custom corporate policies.
- Advanced Data Normalization: MobilSense excels at ingesting disparate data formats from global carriers and normalizing them into a single, actionable dashboard, providing a "single source of truth" for global mobile spend.
- Predictive Analytics: Utilizing historical data and machine learning, the platform forecasts future spend and identifies the most cost-effective plan structures across multiple carriers.
- Integrated Lifecycle Management: The software covers the entire spectrum from procurement and staging to decommissioning and recycling, ensuring that no device becomes a "ghost" asset.
Technical advantages also include robust API integrations with leading ERP and HRIS systems (such as Workday, ServiceNow, and SAP), allowing for seamless employee onboarding/offboarding and automated cost-center allocation. This integration reduces the administrative burden on IT departments and ensures that mobile expenses are accurately reflected in broader financial reporting.
Ideal Customer Profile
The ideal customer for MobilSense is a mid-to-large enterprise with the following characteristics:
- Device Count: Typically 250 to 20,000+ mobile connections (smartphones, tablets, IoT devices, hotspots).
- Industries: Logistics, Healthcare, Construction, Field Services, Manufacturing, and Professional Services.
- Geographic Scope: Primarily North American-based companies, though they support global organizations with complex multi-national carrier needs.
- Technical Maturity: Companies that have moved beyond basic 'bring your own device' (BYOD) and are managing a corporate-owned, personally enabled (COPE) or fully managed device environment.
- Budget & Team: Organizations with a dedicated IT or Finance budget for mobility who lack the internal headcount to manually audit hundreds of pages of monthly carrier invoices.
Best Fit
MobilSense is an ideal fit for organizations in three specific scenarios:
- High-Volume Mobile Fleets: Companies managing 500 to 10,000+ devices where manual oversight of data usage and billing is no longer sustainable.
- Complex Multi-Carrier Environments: Organizations that utilize multiple wireless providers (e.g., Verizon, AT&T, T-Mobile) and need a 'single pane of glass' to normalize data and billing across all accounts.
- Data-Intensive Operations: Businesses in logistics, field services, or construction where 'zero-touch' automated threshold alerts are required to prevent massive data overage charges before the billing cycle ends.
- Audit and Compliance Focused: Firms needing deep historical forensic auditing to recover past billing errors and ensure ongoing contract compliance.
Offerings
MobilSense offers its solutions through a modular approach:
- MobilSentry Standard: The core SaaS platform for automated invoice processing, inventory management, and basic reporting. Ideal for companies wanting to manage WEM internally.
- MobilSentry Enterprise: Includes advanced features like MDM integration, API access for ERP systems, and deep forensic auditing capabilities.
- Managed Mobility Services (MMS): A fully outsourced model where MobilSense handles the heavy lifting, including help desk support, device kitting/shipping, and carrier contract negotiations.
- Mobile Analytics Module: A standalone or add-on high-performance business intelligence tool for complex data visualization and multi-year trend analysis.
- Professional Services: One-time engagements for historical audits, contract benchmarking, and policy development.

Everything you need to evaluate MobilSense — from features and pricing to implementation and security.
Introduction
Welcome to the MobilSense Buying Guide. In an era where mobile workforces are expanding and wireless costs are becoming a top-five IT expense, managing mobile assets requires more than just a spreadsheet. MobilSense provides a sophisticated Wireless Expense Management (WEM) and Managed Mobility Services (MMS) platform designed to provide visibility, control, and significant cost savings.
This guide is designed to help IT leaders, Procurement officers, and Finance executives evaluate MobilSense’s capabilities. You will learn about their core 'MobilSentry' technology, how it integrates with your existing infrastructure, and the specific business scenarios where their automation-first approach delivers the highest ROI. By the end of this guide, you will have the necessary criteria to determine if MobilSense is the right partner to de-clutter your mobility environment and reclaim your IT budget.
Key Features
MobilSense centers its value proposition on automation and deep visibility. Key capability areas include:
Automated Expense Management (MobilSentry):
- Invoice Normalization: Automatically aggregates bills from multiple carriers into a unified dashboard, regardless of format.
- Proactive Optimization: Uses algorithms to analyze usage patterns and recommend the most cost-effective rate plans for every line, every month.
- Zero-Touch Over-usage Alerts: Monitors data consumption mid-cycle and triggers automated alerts to users or managers when thresholds are breached.
Asset & Lifecycle Management:
- Inventory Tracking: Maintains a real-time database of every device, its user, its location, and its contract status.
- Procurement Workflow: A centralized portal for ordering new devices and accessories that adheres to corporate policy and approval hierarchies.
Advanced Analytics:
- Executive Dashboards: High-level visualizations of spend trends, ROI, and carrier performance.
- Granular Cost Allocation: Automatically splits and assigns mobile charges to specific departments, projects, or cost centers, ready for your GL.
Security & Compliance:
- Unused Line Identification: Flags 'zero-usage' devices for immediate suspension or cancellation to eliminate waste.
- Policy Enforcement: Monitors for non-compliant behavior, such as excessive international roaming or unauthorized third-party charges.
Use Cases
- Scenario 1: Large-Scale Construction Firm: A national construction company with 2,500 tablets in the field was suffering from unpredictable data overages. MobilSense implemented real-time threshold alerts and automated plan shifts, reducing monthly data overages by 85% within the first 90 days.
- Scenario 2: Healthcare System M&A: A healthcare provider acquired three smaller clinics, resulting in a chaotic mix of five different carriers and inconsistent billing. MobilSense consolidated all accounts into one dashboard, identified 200 'ghost lines' from the acquired entities, and saved the client $12,000 per month in unnecessary fees.
- Scenario 3: Global Logistics Provider: A logistics firm needed to allocate mobile costs across 50 different regional cost centers. MobilSense integrated with their Workday HR system to automatically assign every line to the correct department, reducing the Finance team's monthly reporting workload from three days to 15 minutes.
- Scenario 4: Professional Services Firm: A firm with a high-travel workforce used MobilSense to manage international roaming. The platform's automated 'roaming triggers' ensured that travelers were placed on temporary international plans only when they landed abroad, preventing 'bill shock' from standard per-megabyte rates.
Pricing Models
MobilSense typically utilizes a tiered pricing structure tailored to the volume of managed lines:
- Per-Device/Per-Month (PDPM) Fee: The most common model, where customers pay a flat monthly fee for every active line under management. This makes costs predictable as the fleet scales.
- Percentage of Savings: In some audit-heavy engagements, a 'gain-share' model may be applied to the initial historical audit, where MobilSense takes a percentage of the credits recovered from carriers.
- Implementation Fee: A one-time setup fee covering data migration, carrier integration, and platform configuration.
- Tiered Service Levels: Pricing varies based on whether the customer chooses 'SaaS-only' (using the software internally) or 'Managed Services' (where MobilSense analysts handle the optimization and carrier disputes).
- Add-on Modules: Specialized features like Help Desk support or International Roaming Management may incur additional monthly costs.
Technical Requirements
As a cloud-native SaaS platform, the technical requirements for MobilSense are minimal:
- Browser Compatibility: Fully supported on the latest versions of Chrome, Microsoft Edge, Safari, and Firefox.
- Connectivity: Standard high-speed internet access; no local server installation is required.
- Mobile Access: The platform is mobile-responsive, allowing managers to approve requests or view alerts from smartphones/tablets.
- Data Feeds: Requires SFTP or API access for carrier invoice delivery and HRIS/ERP data synchronization.
- Email System: Integration with corporate email (O365/Google) for automated alert delivery and workflow notifications.
