Speakap: Engage and Connect Your Non-Desk Workforce Anywhere
Speakap provides a white-labeled frontline employee super-app for global enterprises to reach, train, and engage deskless workers through a mobile-first platform.
Overview
Speakap is a global provider of employee engagement and internal communication solutions specifically engineered for the deskless workforce. Founded in 2011 and headquartered in Amsterdam, the company emerged to solve a critical gap in the enterprise market: the inability of large organizations to effectively reach and engage employees who do not work at a desk.
The vendor provides a mobile-first platform that serves as a digital headquarters for frontline staff across industries such as retail, hospitality, manufacturing, logistics, and healthcare. Speakap’s core offering is a white-labeled application that facilitates two-way communication, top-down announcements, and peer-to-peer messaging. Beyond communication, the platform serves as a central hub for operational tasks, integrating with existing HRIS, payroll, and scheduling systems to streamline the daily lives of employees.
With a strong market presence in Europe and North America, Speakap serves hundreds of global brands, including iconic names like IKEA, McDonald’s, and Bosch. The company’s growth has been driven by the increasing need for digital transformation in the frontline sector, where traditional methods like notice boards and breakroom posters are no longer sufficient. Speakap’s business focus remains on driving operational efficiency, reducing employee turnover, and fostering a sense of belonging within large, geographically dispersed organizations.
Positioning
Speakap positions itself as the premium choice for "branded" frontline engagement. Their strategic messaging centers on the concept of the "Connected Frontline," emphasizing that a connected worker is a more productive and loyal worker. They move away from the "Internal Comms" label—which often implies one-way broadcasting—and instead position their platform as an "Employee Super-App" that handles the entire employee lifecycle from onboarding to daily operations.
In a crowded market featuring giants like Microsoft Teams and niche players like Slack, Speakap differentiates by highlighting the "participation gap." They argue that while office-centric tools are too complex and "noisy" for the frontline, Speakap provides a streamlined, social-media-like experience that requires zero training.
Their brand positioning focuses on three core pillars:
- Reach: Ensuring 100% of the workforce is accessible, regardless of location or email status.
- Relevance: Using smart targeting to provide a personalized experience for every worker.
- Results: Tying engagement directly to business outcomes like reduced churn and improved customer service levels.
By targeting the "unconnected" 80% of the global workforce, Speakap carves out a specialized niche that avoids direct competition with general-purpose collaboration tools, instead positioning themselves as a necessary, specialized layer for the deskless economy.
Differentiation
The primary differentiator of Speakap’s product is its "Super-App" architecture, which consolidates internal communications, document management, and third-party integrations into a single, white-labeled mobile interface. Unlike generic messaging apps or complex intranets, Speakap is designed specifically for the high-frequency, short-duration interactions typical of frontline work.
Key technical advantages include:
- Advanced Targeting and Smart Groups: Speakap allows administrators to sync their organizational structure (via HRIS integration) to automatically target news and tasks to specific locations, departments, or roles. This ensures employees only see information relevant to their specific shift and site, reducing digital noise.
- Deep Integration Ecosystem: The platform acts as a unified portal, integrating seamlessly with workforce management (WFM) tools, payroll systems, and LMS platforms. This allows employees to view schedules, swap shifts, and complete training without leaving the app.
- White-Label Branding: Unlike competitors that lead with their own brand, Speakap offers a fully white-labeled experience. This allows companies to reinforce their own employer brand, increasing trust and adoption rates among employees who may be wary of third-party software.
- Enterprise-Grade Security and Compliance: Speakap is built to meet rigorous GDPR and SOC2 standards, providing a "safe" alternative to the insecure use of consumer messaging apps like WhatsApp in the workplace. It includes features like "off-the-clock" settings to respect labor laws and employee privacy.
Ideal Customer Profile
The ideal Speakap customer typically fits the following profile:
- Industry: Retail, Hospitality, Manufacturing, Logistics, Healthcare, or Construction.
- Company Size: 500 to 50,000+ employees.
- Workforce Composition: A high percentage (60%+) of 'deskless' or frontline workers who do not have a dedicated company workstation or email.
- Technical Maturity: Organizations looking to move away from fragmented communication (WhatsApp, bulletin boards, paper newsletters) toward a centralized, secure digital hub.
- Geography: Global or regional companies with multiple physical locations (stores, plants, hotels) that require localized communication.
- Budget: Organizations that prioritize employee retention and operational efficiency and are willing to invest in a premium, branded experience.
Best Fit
Speakap excels in the following scenarios:
- The Deskless Workforce Challenge: When your primary workforce does not have corporate email addresses or access to a desktop computer (e.g., retail associates, hospitality staff, manufacturing line workers).
- High-Churn Environments: In industries where turnover is high, Speakap’s automated onboarding/offboarding via HRIS integration ensures that security is maintained and new hires are engaged from day one.
- Branding and Culture-First Organizations: For companies that want a platform that feels like their own internal 'social network' rather than a generic utility tool. Speakap offers deep white-labeling capabilities to mirror your brand identity.
- Decentralized Communications: When a global organization needs to balance top-down corporate messaging with local, location-specific news and peer-to-peer interaction without cluttering everyone's feed.
Offerings
Speakap offers tiered solutions tailored to organizational complexity:
- Speakap Standard: Includes core news feeds, private messaging, file sharing, and basic analytics. Ideal for smaller organizations or single-region companies.
- Speakap Enterprise: Adds advanced features like full white-labeling (your own app in the stores), advanced HRIS integrations, multi-language support, and 'Smart Groups' for complex organizational structures.
- Speakap White-Label: A specific offering where the platform is entirely stripped of Speakap branding, appearing to the employee as a proprietary company tool.
- Add-on Modules: Specialized features such as 'Forms & Surveys' for data collection and 'Events' for managing company-wide gatherings.

- Hospitality Culture: A hotel chain utilizes the social feed to share 'Employee of the Month' stories and peer-to-peer recognition across multiple locations, significantly improving retention rates.
- Logistics Crisis Management: A delivery firm uses Speakap to communicate route changes and weather alerts directly to drivers' mobile devices, ensuring high-speed information flow without requiring a laptop.
Pricing Models
Speakap typically follows a SaaS subscription model:
- Per-User Pricing: Licensing is generally based on the total number of active users, making it scalable for both mid-sized and large enterprises.
- Tiered Packages: Often divided into 'Standard' and 'Enterprise' levels. Enterprise tiers typically include advanced features like full white-labeling, dedicated success managers, and custom API access.
- Implementation Fees: A one-time setup fee covers the branding process, HRIS integration assistance, and initial training.
- Cost Drivers: The primary variables affecting price include the total headcount, the level of custom branding required, and the number of third-party integrations.
- Annual Billing: Most contracts are structured as multi-year or annual agreements.
